Established in 1911, Paton Hooke Lawyers is a Taree based firm of solicitors with extensive experience in providing legal services to the Manning Valley and Mid North Coast of NSW. Paton Hooke Lawyers provide legal services for family law and de facto relationships, elder law and estate planning, conveyance and property law, business law, litigation, insurance claims, criminal law and assist with property transactions throughout NSW for both local and international investors.

THE CHALLENGE

Paton Hooke Lawyers engaged Viatek, to review their current document environment. They were frustrated by their current equipment, which was unreliable and providing poor print quality. Account Manager, Nicolas Hook, arranged to meet with Paton Hooke Lawyers to discuss their business support needs and to uncover the most important issues to address with their technology requirements

These were;

• RELIABILITY - This was creating office downtime and affecting staff productivity levels.

• SERVICE AND SUPPORT - Response times were low and they required multiple visits from their previous supplier to fix problems.

• RUNNING COSTS - These were high due to their aging equipment.

• PRINT QUALITY OF DOCUMENTS - Quality was poor and image quality was of high concern.

• PRINT / COPY SPEED - Due to the large number of staff now employed, current equipment was not keeping up with demand.

Paton Hooke was also encouraged to consider;

• COST RECOVERY SOFTWARE - This presented an opportunity to greatly increase billable documents, by allowing for capture of  Print, Scan, Fax and Email jobs in addition to Copy only documents.

• SIMPLIFIED PRINT MANAGEMENT - Consolidation of all print costs into one monthly invoice (equipment, service, consumables and account support).

• IMPROVING WORK FLOWS FOR STAFF - Adding optional time saving capabilities to assist with processing efficiency of scanning, document filing, storage retrieval & handling.

Once the assessment was complete, Paton Hooke were presented with a solution that would address all of their technology concerns and provide additional value through the implementation of an Equitrac cost recovery system.

THE SOLUTION

MANAGED PRINT SERVICES

Viatek recommended a Cost Recovery and simplified Electronic Document Management System. Lead by the installation of Equitrac Professional and a Fuji Xerox DocuCentre IV C3370 with copy/print/scan/fax and email capacity. Coupled together, staff can now simply enter a matter number into an easy to use interactive colour user interface and documents are automatically delivered directly to the correct network location in Paton Hooke’s Leap Practice Management software.

Key features include;

IMPLEMENTATION OF EQUITRAC COST RECOVERY SYSTEM - Allows for total automation of disbursement capture and cost allocation entry. In addition Paton Hooke can now also capture Print, Scan, Fax and Email jobs as billable disbursements.

SIMPLIFIED ELECTRONIC DOCUMENT INTEGRATION - The solution is also the latest Document Management software, which provides seamless integration to Paton Hooke's Leap Practice Management and Accounting software meaning that, minimal manual input is required when storing, retrieving and sharing scans.

INCREASED REVENUE CAPTURE - Now that Paton Hooke can capture Copy, Print, Scan, Fax and Email jobs their disbursement capture has more than doubled.  This has increased their revenue capture and maximized their R.O.I.
