WINGHAM BEEF EXPORTS

After an extensive three month review of Wingham Beef’s print and copy environment, it was established that many areas within their document management and printing systems were not cost effective. Visible "above the line" hard costs were not attributed for items such as hardware, toner and inks, paper, click charges, service, power, telephone etc. Nor were the "below the line" hidden costs that attribute a large proportion of the overall running costs of a company.

This included IT Support and infrastructure, administration and purchasing, document production and document management. It was discovered that these costs contributed to more than 90% of the overall costs of Wingham Beef’s print environment. These overall findings were presented within a report and suitable alternatives suggested.

Wingham Beef’s initial perception saw Xerox products as the Mercedes Benz of printers and believed the costs would be beyond their budget. It was not until they were presented with the audit findings, they realised the total costs of their outgoing print costs could be noticeably reduced by using the MPS system.

Key problems that became evident through the auditing process was that there were far too many printers in one single office site (many of which not being suitable for the work that was required of them), Copiers either did not work or were not very efficient and there was a inability to keep track of consumables. For instance, there was a high cartridge waste due to either Wingham Beef no longer having the printer for a particular cartridge or cartridges having been misplaced and expired, making it near impossible to track, monitor and measure their costs accurately.

The installation process involved a customised solution being designed around key requirements of the office, which included improving work efficiency, office flow and administration time. While, the actual installation was smooth and structured, it did not compromise the reliability and availability of devices.

Post installation not only increased efficiency amongst Wingham Beef office staff, but they even noted an increase in the productivity of their stockyard.
