Logan & Hall Accountants & Advisers is a progressive accounting firm which was established in Northern Victoria in 1972. Their head office is located in the heart of Swan Hill and is supported by an office in Charlton. Logan & Hall had originally requested a quotation from Viatek to provide a secondhand device  as a replacement for a number of ageing machines in their office. This customer had previously always bought secondhand equipment and the old printers were being serviced from Melbourne every six months, which is four hours away.

Viatek recommended Managed Print Services as a solution and Logan & Hall agreed to install device discovery software on their network to gain information about their devices and their usage patterns. Together we uncovered high utilisation of their printers and many other issues relating to reliability, productivity and servicing (the director was carrying out some basic services to the printers). There was no accountability, no cost recovery and an ad hoc approach to their print environment.

MANAGED PRINT SERVICES

The completed Viatek audit provided Logan & Hall with a detailed analysis of their document management systems which uncovered some key information. After several meetings with key staff, Viatek presented back our findings on what each device was costing and which areas of their business could be improved with reliability and productivity. Viatek also offered some advice on improving their scanning and faxing processes.

Logan & Hall’s print environment originally consisted of nine devices with four different brands and six different models. Viatek’s proposal was for two different brands (Xerox & HP), and only two different models, plus leading edge document management software was installed for digital archiving of their documents. Digital archiving had been performed previously with a slow stand alone scanner. 

Viatek’s recommendations were introduced over a period of four weeks, dramatically reducing Logan & Hall’s printing and output costs. Viatek provided reliable devices, software to archive documents and full service on all devices.  We also established the exact cost per impression for cost recovery and back up support. 

All this from one supplier!  There was also no need for Logan & Hall to hold expensive consumables, at their own cost. Best of all, Viatek helped free up valuable time for the director who no longer needs to waste time servicing the devices!
